Every accounting and advisory firm eventually hits a ceiling that has nothing to do with headcount and everything to do with visibility.

Finance in a Box (FIAB) is a U.S.-based financial services firm handling accounting, audit support, invoicing, hiring, and ESOP administration for its clients. Its ceiling wasn't a lack of process — it was fragmentation. General ledger data for every engagement lived across dozens of separate spreadsheets, with no single place to check, in real time, where any given client actually stood.

For CEO Amit Mulchandani, the goal was never a rigid standard for how each engagement ran. It was consolidation — every client's data in one place, status visible in real time across the entire book.

The challenge

Fragmentation, not disorganization

There was no single source of truth and no real-time visibility. Each subsidiary could carry well over 100 accounts, living in isolated spreadsheets with no shared view. Month-end close made the cost most visible — reconciling balance sheet, P&L, and cash flow movement required rebuilding variance analysis from scratch every cycle, especially with multi-currency and forex translation in the mix.

A parallel legal exposure gap existed alongside the accounting one — the book spans more than 600 active contracts, each carrying billing terms, payment terms, and clauses that directly affect revenue recognition, with no real-time way to check one against the other.

What we built

One platform, one place, real-time status

Amit's brief was consolidation rather than standardization for its own sake. We scoped the build around a single question: could anyone on the team look at one place and know exactly where a client stood, right now? From that question, we built FinOpz, organized around three modules.

Close Management

Where FIAB runs its full monthly close, live.

FinAI

An agent layer that acts across the platform.

Apps

Purpose-built tools: Contract Analyzer, Finsheets.

Close Management

  1. 01Workspace

Every subsidiary gets one live workspace, structured as categories, accounts, and tasks — with dependencies enforced directly inside the structure.

  2. 02Checklists

Templates live at the category level, giving every account a consistent starting point while still allowing account-specific customization.

  3. 03Notes Management

An optional notes layer at the task and account level, so the reasoning behind a decision sits right next to the work it explains.

  4. 04Flux Analysis

Variance across balance sheet, P&L, and cash flow calculated in real time, with multi-currency translation and a named preparer and reviewer on every line.

  5. 05Roll Forward

Closing balances and supporting detail carry automatically into the next period — no manual re-entry, no starting from zero.

  6. 06Analytics

A dedicated view tracking close progress by category across every client, live — the real-time view the whole build was built for.

FinAI

An AI agent layer that sits across Close Management and Apps. It doesn't just answer queries — it takes action: advancing a task inside Workspace, drafting a variance explanation inside Flux Analysis, or flagging a contract mismatch inside Contract Analyzer. Because it works off the same live data as every other module, it never introduces a second version of the truth. Amit's framing for it was direct: the need of the hour, not a nice to have.

Apps

Contract Analyzer

Reads any contract and reconciles it against Close Management and the CRM — extracting deadlines, billing terms, fees, and compliance obligations. Currently in beta, tested against 600+ active contracts.

Finsheets

A spreadsheet-style working surface that stays connected directly to the same live platform data, so the habit that caused the original fragmentation doesn't get recreated inside the tool meant to solve it.

Why the sequencing mattered

Consolidation had to come before automation.

Close Management shipped first because giving the team one live place to see status across the book was the actual request. An AI layer or a legal review tool would have had nothing reliable to sit on top of otherwise. FinAI and Contract Analyzer followed only once Close Management had given the platform a trustworthy, real-time source of truth to act on.

Reduction in operational workload through workflow automation
They invested the time to understand our business, adapted to our schedule, and built a product around our needs rather than assumptions.

CEO, Finance in a Box

FIAB used to run on a hundred disconnected spreadsheets with no shared visibility, and legal terms lived apart from the books meant to reflect them. Now the firm runs on one platform where any client's status is visible in real time, an agent can act directly on that status, and dedicated apps handle the specific work Close Management doesn't cover.

Engineering notes on this build

Nine deep dives from inside the FinOpz build

  1. 01Workspace: One place per subsidiary, live
  2. 02Checklists inside Workspace: A consistent starting point, not a rigid standard
  3. 03Notes Management: Capturing the judgment behind the number
  4. 04Flux Analysis: Variance in real time, not in a separate file
  5. 05Roll Forward: Closing a period without starting the next one from zero
  6. 06Analytics: The real-time view the whole build was built for
  7. 07FinAI: One agent, operating across Close Management and Apps
  8. 08Contract Analyzer: Reading any contract and reconciling it against the systems that depend on it
  9. 09Finsheets: Spreadsheet familiar, no longer disconnected
